Privacy Policy
Effective October 26, 2026
This policy explains what information the Calendar Coach app and its website (“Calendar Coach”, “we”, “us”) collect, how it’s used and shared, how long it’s kept, and the choices you have. Calendar Coach is made by Jayden Taylor. If you have a question, email jaydentaylor317@gmail.com.
The short version: you can use Calendar Coach without an account, and then everything stays on your device. If you create an account, your entries are stored on our servers so they can sync. The AI coach is off until you turn it on. We don’t show ads, we don’t sell your data, we don’t track you across other apps or websites, and the app has no analytics.
1. Using the app without an account
Without an account, your entries, settings and streak are saved only on your device. We don’t receive them. Reminders and the daily quote are scheduled as notifications on your device and aren’t sent through our servers.
2. Information we collect when you create an account
An account is optional. If you create one, we collect:
- Account details: your email address and a password (stored only in hashed form by our sign-in provider). If you use Sign in with Apple, Apple gives us a user identifier and an email address, which may be a private relay address if you choose to hide yours.
- Your entries: what you add to the app, such as event and task titles, notes, dates and times, colors, repeats, alerts, video call links, which tasks or payments you checked off, and for money entries the amount, whether it’s income or an expense, and its category.
- Your settings: your app preferences (such as theme, time format and quote time), your savings goal, and your streak (the dates you opened the app, used to count days in a row).
- AI coach records (only if you turn the coach on): the nudges and weekly reports written for you, and a log of when the coach was asked to write them, used to enforce daily limits.
We don’t collect your location, contacts, photos, health data, bank account details or device advertising identifiers. The app reads your clipboard only when you tap Paste on a video call link.
3. How we use it
- To back up your entries and sync them across your devices.
- To sign you in, keep your account secure, and send account emails such as a confirmation link or a password reset link.
- To write your AI coaching, if you turn the coach on (see section 5).
- To prevent abuse, such as automated sign-ups.
We don’t use your information for advertising, and we don’t sell it or share it for others’ marketing.
4. Who we share it with
We use a small number of service providers to run Calendar Coach. They process data only to provide their service to us:
| Provider | What it does | What it receives |
|---|---|---|
| Supabase | Hosts our database and sign-in, on servers in the United States (Amazon Web Services, us-east-1), and sends account emails. | Your account details, entries, settings, streak and coaching records. |
| Anthropic (Claude) | Writes your AI coaching, only if you turn the coach on. | The entries the coach needs (see section 5). |
| Cloudflare (Turnstile) | Checks that sign-ups, sign-ins and password reset requests come from a person, not a bot. | Technical signals from your device or browser during that check. Cloudflare doesn’t receive your entries. |
| Apple | Sign in with Apple, if you use it, and notification delivery on your device. | What Apple’s own privacy policy describes. |
We may also disclose information if the law requires it, or to protect the rights and safety of our users or others.
5. The AI coach
The AI coach is off by default and needs an account. When you turn it on, the app explains that your entries are sent to Claude, an AI model made by Anthropic. Then, up to a few times a day, our server sends Anthropic the parts of your account it needs to write your nudges and weekly report: your repeating entries, plus your other entries from the start of this month (or the past week, if that’s earlier) through the next two weeks (titles, notes, dates, times, repeats, task and payment status, amounts and categories), this month’s income and expense totals, your savings goal and your streak. Video call links and your email address aren’t sent.
Anthropic processes this data under its commercial terms, which don’t allow it to train its models on data sent through its API. AI-written coaching can be wrong or incomplete, so please use your own judgment. You can turn the coach off at any time in Settings; nothing is sent to Anthropic while it’s off.
6. How long we keep it
- Your entries, settings, streak and coaching records are kept while you have an account. When you delete an entry, we keep a small “deleted” marker for it so your other devices know to remove it too.
- When you delete your account, all of the above is deleted from our database immediately. Copies may remain in our provider’s encrypted backups for a short period before they expire.
- Data on your device stays there until you delete it, sign out (which removes your account’s entries from that device), or uninstall the app.
7. Your choices and rights
- Use it without an account: skip sign-in and your data never leaves your device.
- Edit or delete entries: at any time in the app.
- Turn off the AI coach: in Settings.
- Delete your account: in the app, go to the Coach tab, open Settings, tap your account, then tap Delete account. This permanently deletes your account and everything synced to it. You can also email us and we’ll delete it for you.
- Access or correct your data, or ask a question: email jaydentaylor317@gmail.com. Depending on where you live, you may have further rights under laws such as the GDPR or CCPA, and we’ll honor them. We’ll answer within 30 days.
- Notifications: turn reminders or the daily quote off in the app, or in your device’s settings.
8. Security
Data is encrypted in transit. On your phone, your sign-in session is encrypted with a key kept in the device’s secure keychain. On our servers, each account can read and change only its own data, enforced by the database itself, and the AI coach’s usage is limited per account. No system is perfectly secure, but we work to protect your information and will tell you about a breach that affects you as the law requires.
9. The website
This website has no cookies, analytics or trackers. Our hosting provider (Cloudflare) may keep standard server logs, such as IP addresses, to operate and secure the site.
10. Children
Calendar Coach isn’t directed to children under 13, and we don’t knowingly collect personal information from them. If you believe a child under 13 has created an account, email us and we’ll delete it.
11. International users
Our servers are in the United States. If you use Calendar Coach from elsewhere, your account data is transferred to and stored in the United States.
12. Changes to this policy
If we change this policy, we’ll update the date at the top. If a change materially affects how we use your information, we’ll tell you in the app before it takes effect.
